What this policy covers
This policy applies to visitors and users of ventramedia.co.uk, including anyone who fills in a form, takes the Pipeline Score assessment, downloads a report, books a call, or otherwise gets in touch with us.
What we collect
Depending on how you interact with us, we may collect the following. Contact details: name, firm name, email address, phone number. Firm information: sector, firm size, and other details you give us through forms or the Pipeline Score assessment.
Assessment responses: your answers to the Pipeline Score questions and the resulting score. Communications: anything you send us by email, form, or phone, and records of discovery or advisory calls where you have been told the call is being recorded.
Technical data: IP address, browser type, device information, and pages visited, collected automatically through cookies and similar technologies.
Marketing interactions: whether you have opened emails, clicked links, or engaged with ads.
How we collect it
We collect data directly from you, when you fill in a form, take the Pipeline Score assessment, book a call, or email us. We also collect it automatically, through cookies and tracking technologies on our site. We may also collect it from third parties, if we have identified your firm as a potential fit for our services and reached out to you directly, for example through cold outreach.
Why we use your data and our legal basis
We respond to enquiries and provide services you have requested under contract, or the pre contract steps taken at your request. We send the report, template pack, or other content you have asked for under contract or consent. We run the Pipeline Score assessment and give you a result based on consent. We send marketing emails and outreach based on legitimate interests, or consent where required. We improve our website and services based on legitimate interests. We meet our legal and accounting obligations as required by law. You can withdraw consent at any time. Where we rely on legitimate interests, you can object, and we will stop unless we have a compelling reason to continue.
Who we share it with
We use a small number of trusted third party services to run our business. They process data on our behalf under their own privacy and security terms. We do not sell your data. We only share it with these providers to the extent needed to run our services, and with regulators or authorities where we are legally required to.
International transfers
Some of the providers above may process data outside the UK or EEA. Where that happens, we rely on their standard contractual clauses or equivalent safeguards.
How long we keep it
We keep enquiry and assessment data for 24 months from your last interaction with us, unless you become a client. We keep client data for the duration of the engagement plus 7 years, to meet UK accounting and tax obligations. We keep marketing data until you unsubscribe or ask us to delete it.

Your rights
